Cancellation, Deletion and Suspension Policy


Cancellation

We hope you don’t need to cancel your Quota account, but it happens. We hope you’ll speak to us first and let us see if we can resolve any issues you may have.


When you cancel a Quota account, you won’t be able to access your account, nor will the Users you have associated with your account. This means that if you have Users accessing Quota as employees, they will lose access. If you have Users accessing Quota as business owners, they will lose access too. It will be your responsibility as the primary Account Administrator to inform them of this removal of access and how they can mitigate any related issues - Quota will not communicate with your Users at the point of cancellation.

You can cancel your subscription and keep using your account until your paid period expires and the next billing date is reached. The account will then be automatically canceled and will become inaccessible to you and your Users. You can also choose to cancel your account earlier, but we cannot refund you for the prorated period before the next billing date, unless in exceptional circumstances.

We’ll permanently delete any identifiable content in your account from our servers 30 days after cancellation. Should you wish to restore your account after cancellation, you will need to do so within 30 days after you cancel your account.

Accounts and Data can’t be recovered once they have been permanently deleted.

We won’t bill you again once you cancel. We will permanently delete your billing account information from our payment provider 30 days after you cancel. Should we accidentally bill you after your cancellation, we will refund you in line with our Payments, Refunds and Plan Change Policy in our Terms of Service.

We may choose to delete accounts if they have been inactive for an extended period due to lack of use, violation of our Terms of Service, Restricted Purposes, Security and Billing Policy, or due to a failure in payment processing. We will attempt to contact you before any deletion happens. We may delete accounts:


30 days after a trial has expired without being used

60 days after being frozen due to billing failures

60 days after primary Account Administrator creation where no Businesses or Users have been added


When a free trial period is offered, you can cancel at any time prior to the end of that trial period without charge. At the point of that trial period ending, we will charge you for the next billing period based on the number of connected businesses you have. We will send you a notice prior to your free trial ending. If you choose to cancel your subscription before the end of your free trial, we will handle that cancellation as stated above.


Suspension

We also retain the right to suspend or terminate accounts for any reason at any time, as outlined in our Terms of Service. In practice, this generally means we will cancel your account without notice if we have evidence that you are violating the restricted use agreement.

Suspended accounts are not deleted, and remain restorable until it is decided to delete them. Decisions on deletion are made after attempting to contact the primary Account Administrator - we won’t delete anything without trying to talk to you first.


Suspending Users

As an administrator, you are able to suspend users in Quota. Suspension removes any access that User has to the data being suspended and they can be simply reactivated at a later date.


Deleting Users

As an administrator, you are able to Delete users in Quota. Deletion removes any access that User has, and permanently deletes any identifiable content in your account. Once a User is deleted, they cannot be restored, and a new User account must be created.


Suspending Businesses

As an administrator, you are able to suspend Businesses in Quota. Suspension removes any access that any User has to the Business and related data being suspended. Suspending a Business does not affect Billing. A suspended Business is still liable to ongoing monthly billing.


Deleting Business

As an administrator, you are able to delete Businesses in Quota. Deletion removes any access that any User has to the Business and related data being deleted. Deleting a Business does affect Billing. A suspended Business will be removed from any ongoing monthly billing. Once a Business is deleted, they cannot be restored, and a new Business must be created.
